Observe the area where you’re supposed to hold the ceremony and reception. Check if the place is clean enough and is well lit especially in the evening. Look for natural spots that make a great outdoor ambiance. Also check if they have a spectacular background view for great photos. Do they have other structures that enhance the beauty of the outdoor scene such as a fountain, pillars, huge rocks or an arch? If not, ask if they can set up one or two structures for the event.

Consider the total space and determine if there is enough to adequately accommodate all your guests. Assess if the area can contain the buffet table, guests’ tables, chairs, wedding cake table, bar area, dance floor, entertainment area and stage. What are other available features that can maintain the comfort and relaxation of your guests? Make sure that they have alternative emergency solutions such as tents, pavilions and canopies should the weather suddenly turn sour.

Ask for a price list and determine how the place charges in terms of facilities. Some may simply let you rent the entire area which includes the dance floor, stage, etc. while others may charge you for every aspect and part of the venue. Some may include chairs, tables, the sound system and other decorations in the set up with a fixed price while others may charge you extra for other items you want to set up as well. Some facilities may also require you to rent everything including services like catering and security. Make sure you and the facility coordinator agree on the total costs and confirm properly to avoid future complications.

It is also important to ask for policies, regulations and guidelines for the facilities to avoid accidents and additional charges and fees. You may be able to save more by bringing in materials you may already have like tables and the sound system. You may also ask for compromises and other cheaper solutions to make your outdoor wedding very attractive yet cost-effective.
